This Privacy Policy describes how SaleSage ("we", "us", or "our") collects, uses, discloses, and protects information about you when you use our real-time AI sales coaching platform (the "Service"). It also explains your rights and choices under applicable laws including the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act / CPRA (CCPA).
1. Information We Collect
1.1 Account information
Name, email address, profile photo, team name, billing address, and authentication credentials. Created when you sign up or are invited to a team workspace.
1.2 Meeting content (transcripts and audio)
When you enable real-time coaching for a call, we send a recording bot to the meeting via our transcription provider, Recall.ai. We process the audio stream, generate a written transcript, and store both the transcript and (depending on your settings) a copy of the audio. You and other participants will see a visible bot in the meeting platform. The workspace and the meeting host are responsible for notifying participants of the recording and for obtaining any consent required by applicable law; see Section 4 of the Terms of Service for the full responsibility and disclaimer.
1.3 AI prompts and responses
To produce real-time coaching, summaries, and sales-event extractions, we send transcript snippets, your prompts, and contextual metadata to large language model providers. We receive and store the model's responses, the tool calls it executed, and aggregated token usage.
1.4 Billing information
Subscription plan, billing email, invoices, and payment status. Card details are processed directly by Stripe and are never stored on our servers.
1.5 Usage and device information
Pages viewed, features used, IP address (truncated where required), browser and device type, time zone, and error diagnostics.
2. How We Use Your Information
We use the information described above to:
- Provide the Service, including transcription, real-time AI coaching, post-meeting summaries, and CRM-bound sales-event records.
- Operate, secure, and improve the Service, including debugging, fraud prevention, abuse detection, prompt and pipeline evaluation, performance benchmarking, and refinement of our processes so the product works better for your team and others. We do not train, fine-tune, or build AI models of our own.
- Communicate with you about your account, billing, security notices, and product updates.
- Comply with legal obligations, enforce our Terms of Service, and protect the rights, property, and safety of our users.
- Carry out any other purpose you have consented to.
3. AI Processing Disclosure
SaleSage uses third-party AI providers to generate coaching output. As of the effective date above, we route inference through Vercel AI Gateway to OpenAI (including the gpt-realtime and gpt-4o families) for real-time coaching and to Anthropic (Claude Sonnet family) for meeting preparation, synthesis, and post-meeting extraction. We use AssemblyAI for streaming transcription and speaker diarization. Recall.ai operates the meeting bot that joins calls and produces the raw recording. We may change providers from time to time; the canonical, change-tracked list is maintained at the Sub-processors page linked below.
Third-party model training: We do not authorize OpenAI, Anthropic, AssemblyAI, Recall.ai, or any other downstream model or transcription provider to train their general-purpose foundation models on your meeting content, and we do not sell your content to data brokers.
Our own models: SaleSage does not train, fine-tune, or build foundation, coaching, summarization, or sales-event models of its own. The coaching output you see is generated by the third-party providers named above, called from your workspace context.
How we use your data to improve the Service: We do store and use your transcripts, prompts, model responses, and product telemetry to operate the Service, evaluate the quality of our prompts and pipelines, debug issues, prevent abuse, benchmark performance, and improve our processes and the way the product works for your team and others. This is service-improvement and analytics use — not model training. We do this only to the extent permitted by applicable law and consistent with any security or privacy certifications we hold or pursue.
AI output is not professional advice: Coaching prompts, summaries, sales-event extractions, and other AI-generated content provided by the Service are for sales coaching and productivity purposes only. They are not legal, financial, medical, or other professional advice, may be inaccurate or biased, and must be reviewed by you before being shared with a customer or used to make a binding decision. 4. Sub-processors
We share information with sub-processors strictly to operate the Service. Each is bound by a written data-processing agreement. The canonical, change-tracked list — including provider, purpose, categories of data, and processing region — lives on the Sub-processors page and is updated whenever the line-up changes. We post material additions to the Sub-processors page at least fourteen (14) days before the new sub-processor begins processing Customer Content; workspace owners on plans whose order form or data-processing agreement provides for direct notice will also receive an email.
5. Data Retention
Today, we do not run an automated, time-based deletion schedule for Customer Content. Account data, meeting transcripts, recordings, prompts, and product telemetry are retained for as long as your account is open and for as long as we hold operational, legal, accounting, or security reasons to keep them. We are tracking the build-out of a workspace-level retention setting so that owners can configure automatic deletion windows; until that ships, the manual process described below is the contract.
Deletion on request: You can delete individual meetings at any time from the Service. To request deletion of an entire workspace's Customer Content — either while the workspace is active or after account closure — email legal@trysalesage.com from the workspace owner address on file with the subject "Deletion request" and identify the workspace. We will action the deletion within thirty (30) days of our written confirmation, subject to legal hold, security-incident preservation, and accounting-record exceptions.
Workspace owners may request an export of their Customer Content at any time, including for up to thirty (30) days after account closure, by emailing legal@trysalesage.com from the owner address on file.
6. Your Rights and Choices
Depending on where you live, you may have rights to access, correct, port, delete, or restrict processing of your personal information, and to object to certain processing. California residents have specific rights under the CCPA, including the right to know, the right to delete, the right to correct, and the right to opt out of the sale or sharing of personal information (we do not sell personal information). To exercise any of these rights, contact us at the email below. We will respond within the timeframe required by applicable law.
We do not sell personal information and we do not share it for cross-context behavioral advertising.
7. International Data Transfers
We are headquartered in the United States. If you access the Service from outside the United States, your information will be transferred to, stored in, and processed in the United States and other countries where our sub-processors operate. Where required by applicable law, we use Standard Contractual Clauses (SCCs) and other safeguards approved by the European Commission to protect international transfers. For transfers from the United Kingdom, we rely on the UK International Data Transfer Addendum (IDTA) to the EU SCCs. Where a receiving sub-processor is certified under the EU-US, UK-US, or Swiss-US Data Privacy Framework (DPF), we also rely on that certification as an additional transfer mechanism.
8. Security
We implement administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and at rest, role-based access controls, Row-Level Security on every tenant-scoped table, and continuous monitoring. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
9. Children's Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time.
For the initial publication of this document on the effective date shown at the top of the page, posting on this page constitutes notice. For future material changes, we will notify workspace owners by email to the workspace owner address on file or by an in-app notice before the change takes effect, and we will update the "Last updated" date to reflect the new revision.
